Privacy Policy

Last updated: 6 September 2026

This policy explains how Carnivoke Commerce Ltd, trading as BatchPoint Equipment, uses personal information when you visit batchpointequipment.com, contact us or buy from us. It also applies to people acting on behalf of our business customers, suppliers and other business contacts.

Who is responsible for your information

Carnivoke Commerce Ltd is the controller of the personal information we use for the purposes described here. A controller decides why and how personal information is used.

Contact: contact@batchpointequipment.com

Phone: 07842 839913

Registered office: 16 Beaufort Gardens, Hendon, London, NW4 3QP, United Kingdom.

Please use these details for privacy questions or requests to exercise your rights.

Information we collect

The information depends on how you interact with us and may include:

•      Contact and business details: name, business name, role, email address, telephone number and business, billing or delivery address.

•      Enquiry and order details: equipment requirements, quotations, products ordered, delivery instructions, order history, correspondence and support or return records.

•      Payment and transaction information: billing information, payment status, transaction references and limited payment details made available by the payment provider. Payment providers collect the financial details needed to process a transaction under their own arrangements. Please do not send full card details by email.

•      Website and device information: IP address, browser and device details, pages visited, referral information, and cookie or similar identifiers where the relevant technology is used.

•      Preferences and records: marketing choices, cookie choices, consent records and requests concerning your information.

We collect information directly from you through enquiries, orders and other contact. We may also receive relevant information from someone in your organisation, delivery or payment providers, manufacturers handling an order or support request, and the service providers operating our store.

Please provide only information relevant to your enquiry or order. We do not ask for health information or other sensitive personal information to sell equipment. If you provide another person's contact details, make sure you are entitled to do so and make this policy available to them.

Why we use information and our lawful bases

We use personal information only where we have an applicable lawful basis under UK data protection law.

Enquiries, quotations and orders: to respond to questions, check equipment requirements, prepare quotations, take payment and arrange delivery. Where you contract with us as an individual, including as a sole trader, we rely on steps you request before entering a contract or performance of that contract. Where you act for an organisation, we normally rely on our legitimate interests in managing business enquiries and fulfilling that organisation's orders.

Support, returns and complaints: to investigate problems, arrange an appropriate remedy and keep an accurate record. We rely on contract performance where applicable, legal obligations and our legitimate interests in providing support and resolving disputes.

Accounts and administration: to maintain invoices and financial records, meet tax or other legal duties and respond to lawful requests. We rely on legal obligations and, for routine business administration, our legitimate interests in running the business.

Security and fraud prevention: to protect our website, payment processes and business, investigate suspicious transactions and establish or defend legal claims. We rely on our legitimate interests in preventing misuse and protecting our customers and business, and legal obligations where applicable.

Website operation and improvement: to provide working checkout and website features, diagnose errors and understand use of our store. We rely on legitimate interests for necessary operation and security, and consent for optional analytics or similar technologies where used under our consent settings.

Marketing: to send relevant equipment news or offers where permitted. We use consent when required and may rely on legitimate interests where applicable law permits business marketing or a qualifying existing-customer exception. The choices available to you are explained below.

Where we rely on legitimate interests, we consider the purpose, necessity and effect on individuals and do not use that basis where your interests or rights override ours. You can ask us for more information about a particular use.

Information needed to prepare, fulfil or support an order is necessary for those activities. If you do not provide it, we may be unable to provide an accurate quotation, accept the order or arrange the requested service. Marketing consent is not a condition of buying from us.

Who we share information with

We share relevant information only as needed for the purposes in this policy, including with:

•      Shopify and providers supporting the hosting, operation and security of the store.

•      Payment, banking and fraud-prevention providers processing or verifying transactions.

•      Manufacturers, distributors, couriers and service providers arranging equipment supply, delivery, technical assessment, warranty work or repairs.

•      Providers of email, business administration, accounting and customer-service systems.

•      Analytics or advertising providers if those services are enabled, subject to the applicable privacy and consent settings.

•      Professional advisers, insurers, regulators, law-enforcement bodies or other parties where necessary for advice, legal obligations, claims or a lawful business transfer.

For example, a manufacturer dispatching equipment may need a recipient's name, delivery address, contact number and delivery instructions. We seek to limit sharing to what the relevant task requires.

Providers may act on our instructions or, for some activities, as separate controllers with their own responsibilities. We do not sell customer contact lists or provide them to unrelated businesses for their own unsolicited marketing.

Shopify and your information

Our store is hosted on Shopify. Shopify processes information to provide the store and related services. Depending on the features enabled, it may also process certain information for its own purposes as a separate controller, including security and services described in its notices.

If Shopify Network Intelligence or related enhanced services are enabled, Shopify may combine information about interactions with our store with information from other merchants and services for the purposes described in its privacy notice, subject to applicable settings and choices.

For details, read Shopify's Privacy Policy and Shopify's Consumer Privacy Policy. Shopify also provides a privacy portal for requests concerning information it controls.

Cookies and similar technologies

Cookies and similar technologies help operate the website, remember choices and, where enabled and permitted, measure usage or support advertising.

Necessary technologies support functions such as security, the basket and checkout. We ask for consent before activating optional analytics, advertising or other optional tracking technologies. Declining optional cookies does not prevent you from making a purchase.

You can make or change your choices through the website's cookie controls. The cookie information available through those controls identifies the technologies or categories in use, their purposes and duration. You can also manage cookies in your browser, although blocking necessary cookies may affect website functions.

A privacy policy is information about our practices; reading it or continuing to browse does not by itself give consent to optional tracking.

Marketing choices

Contacting us about equipment does not automatically subscribe you to marketing. Where we need consent, we ask for it separately. Where a lawful existing-customer exception applies, we provide the required opportunity to opt out when details are collected and in subsequent messages.

You can unsubscribe through a marketing email or contact us directly. Where business marketing is permitted without prior consent, you can still object at any time and we will stop using your information for that purpose.

Order confirmations, delivery updates and replies to an enquiry are service communications. We may still send these where necessary even if you have opted out of marketing. We retain a minimal suppression record where needed to respect your choice.

International processing

Some service providers may process information outside the United Kingdom, including in the European Economic Area, Canada or the United States. The locations and protections depend on the provider and the service used.

Where we make a restricted transfer, we ensure that an appropriate UK-recognised transfer mechanism applies. This may be UK adequacy regulations or appropriate contractual safeguards, supported by the assessments required by law. You can contact us for information about the safeguards relevant to your data and how to obtain a copy, subject to necessary redactions.

How long we keep information

We retain information only for as long as it is needed for the stated purpose, legal requirements or a justified claim or dispute. Our normal approach is:

•      Order, invoice and accounting records: six years from the end of the financial year they relate to, or longer where tax rules or a specific legal requirement require it.

•      Enquiries and quotations that do not lead to an order: up to 24 months after the last substantive contact, unless an ongoing enquiry or other justified reason requires longer retention.

•      Warranty, support and complaint records: for the period needed to manage the matter and any relevant claim, normally up to six years after closure. We review records for longer equipment warranties or active disputes individually.

•      Marketing records: while the permission or other valid basis continues and the information remains relevant. Minimal opt-out records are kept as needed to prevent further unwanted contact.

•      Cookies and technical records: according to the durations shown in the cookie controls or the security and operational needs of the relevant system. Security incidents may require records to be held for longer.

When information is no longer required, we delete it securely or anonymise it. A deletion request does not require us to erase records we must lawfully retain, but we will explain any applicable restriction.

Your rights

Depending on the circumstances, you may have rights to access and obtain a copy of your information, correct inaccuracies, request deletion, restrict processing, object to processing or receive certain information in a portable format. You can withdraw consent at any time where we rely on it, without affecting processing already carried out lawfully.

You have an absolute right to object to processing for direct marketing. Other rights can depend on the lawful basis and applicable exemptions.

Email contact@batchpointequipment.com to make a request. We may need proportionate information to confirm identity. We normally respond within one month, subject to lawful extensions or adjustments, and explain these if they apply. Requests are normally free of charge.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. Service providers may use automated fraud or security checks; contact us if you need an order issue reviewed or explained.

Security and complaints

We use proportionate organisational and technical measures to protect information, including access controls and appropriate arrangements with service providers. No internet service can be guaranteed completely secure.

Please contact us if you have a concern so we can investigate it. You can also complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint or call 0303 123 1113.

Our store is aimed at business purchasers and is not directed at children. If you believe a child has provided personal information to us, please contact us.

Changes to this policy

We may update this policy when our practices or legal requirements change. The date above identifies the latest version. Where a change materially affects how we use your information, we will provide appropriate notice and seek fresh consent where required.
